Verified residents sign in to read announcements, open community documents, pay assessments online through Stripe, and submit maintenance and architectural requests. The board and management team receive authenticated access to manage content, residents, requests, and payments.
The Hunter’s Crossing demo is the design and screen reference. Exact will take it from interactive prototype to a production platform with real accounts, content, and payments.
Public visitors use the website without creating an account. Authentication is reserved for verified households, the board, and management.
Exact will create the production interface and the site’s imagery rather than relying on stock templates or placeholder visuals.
An annual hosting and care plan covers hosting, updates, and ongoing edits, so the site stays current without starting a new project each time.

Exact is responsible for the complete technical setup and launch of the production website and resident portal.
The project includes custom design, visual application, and media creation, but it is not a full branding engagement.
Visual decisions and media created for the website are part of the design deliverable. They do not constitute a standalone brand identity package or brand guidelines engagement. Existing association photos will be used where available; on-site photo or video shoots are not included.
The production platform will be fully engineered with real accounts, data, and payments rather than running as a front-end demo.
Exact will build the production website and portal from the approved demo design. The demo’s sign-in is a front-end preview only; in production, access to resident pages and private documents is enforced on the server.
Exact will establish the database, resident and household records, roles and permissions, the content management system, file storage for documents and images, and the production connections the platform requires.
Payments run through a Stripe account owned by the association, so funds deposit directly to the association’s bank account. Card and bank details are entered into Stripe’s secure payment forms and are never stored on the website.
Exact will connect the association’s domain, configure DNS and SSL, and set up production hosting with backups and monitoring. After launch, the platform stays hosted, maintained, and current under the annual hosting and care plan.
Estimated delivery is 5–6 weeks after kickoff requirements are complete, assuming timely feedback and no material scope expansion.
A fixed fee for the build, and a simple annual plan that keeps the platform hosted, maintained, and current.
Stripe’s standard processing fees are paid by the association directly to Stripe, and domain registration or renewal fees are billed by the domain registrar. Hosting is included in the care plan.
Exact owns the platform setup, technical launch, and ongoing care; the association owns content, approvals, resident data, and legal review.
Anything materially beyond the scope above remains available as future scope rather than quietly expanding the initial build.

Requests that materially add features, integrations, workflows, content migration, branding deliverables, or functionality beyond this proposal will be treated as additional scope and priced separately before work begins.
The platform is considered delivered when the agreed core flows work in production and the site is deployed to the association’s domain.
A public visitor can browse the agreed public pages on desktop and mobile without creating an account.
A verified resident can activate an account, sign in securely, and use the agreed portal features.
A resident can pay assessments and fees through Stripe and see the payment in their payment history.
Board members and management can update the agreed site content through the CMS without code.
The platform is live on the association’s domain with hosting, SSL, backups, and monitoring in place, and functions responsively across current desktop and mobile browsers.
