What this is

A new public website and secure resident portal that gives Hunter’s Crossing one place to stay informed, pay dues, and get things done.

Visitors and prospective buyers browse the public site without an account. Verified residents sign in to read announcements, open community documents, pay assessments online through Stripe, and submit maintenance and architectural requests. The board and management team receive authenticated access to manage content, residents, requests, and payments.

The Hunter’s Crossing demo is the design and screen reference. Exact will take it from interactive prototype to a production platform with real accounts, content, and payments.

Accounts for residents only

Public visitors use the website without creating an account. Authentication is reserved for verified households, the board, and management.

Custom design and media

Exact will create the production interface and the site’s imagery rather than relying on stock templates or placeholder visuals.

Looked after after launch

An annual hosting and care plan covers hosting, updates, and ongoing edits, so the site stays current without starting a new project each time.

Section 02

Resident Experience

The platform is intentionally simple: a clear public website for everyone, a private portal for residents, and practical tools that let the board keep it current.

Public Website

Visitors, prospective buyers, and neighbors browse the home page, community and neighborhood information, amenities, news, events, public documents, FAQs, and contact details on a responsive public site. No account is required.

Resident Portal

Verified residents sign in to a private portal with announcements, the full document library, payments, maintenance and architectural requests, the events calendar, the opt-in resident directory, board information, notifications, and account settings.

Board & Management Tools

Board members and the management team sign in with elevated access to update site content, invite and manage households, review and update requests, and view payment activity.

Approval rules, such as who verifies new households and how architectural requests move from review to board vote, will be finalized during kickoff rather than hard-coded from the demo.

Exact is responsible for the complete technical setup and launch of the production website and resident portal.

Design & Brand Scope

The project includes custom design, visual application, and media creation, but it is not a full branding engagement.

IncludedCustom UI refined from the approved demo, screen layouts, responsive behavior, typography and color application, component styling, interaction states, and custom imagery and graphics for the site.
Not included: full brand packageNo comprehensive brand strategy, brand book, logo redesign, full logo suite, printed collateral, or complete identity engagement.
Important distinction

Visual decisions and media created for the website are part of the design deliverable. They do not constitute a standalone brand identity package or brand guidelines engagement. Existing association photos will be used where available; on-site photo or video shoots are not included.

Section 05

Technical Foundation

The production platform will be fully engineered with real accounts, data, and payments rather than running as a front-end demo.

Production Build

Exact will build the production website and portal from the approved demo design. The demo’s sign-in is a front-end preview only; in production, access to resident pages and private documents is enforced on the server.

Accounts, Data & Content

Exact will establish the database, resident and household records, roles and permissions, the content management system, file storage for documents and images, and the production connections the platform requires.

Payments Through Stripe

Payments run through a Stripe account owned by the association, so funds deposit directly to the association’s bank account. Card and bank details are entered into Stripe’s secure payment forms and are never stored on the website.

Domain, Hosting & Care

Exact will connect the association’s domain, configure DNS and SSL, and set up production hosting with backups and monitoring. After launch, the platform stays hosted, maintained, and current under the annual hosting and care plan.

Estimated Timeline

Estimated delivery is 5–6 weeks after kickoff requirements are complete, assuming timely feedback and no material scope expansion.

Pricing

A fixed fee for the build, and a simple annual plan that keeps the platform hosted, maintained, and current.

Third-party costs

Stripe’s standard processing fees are paid by the association directly to Stripe, and domain registration or renewal fees are billed by the domain registrar. Hosting is included in the care plan.

Section 08

Responsibilities

Exact owns the platform setup, technical launch, and ongoing care; the association owns content, approvals, resident data, and legal review.

Not Included in This Phase

Anything materially beyond the scope above remains available as future scope rather than quietly expanding the initial build.

Native iOS or Android application development, App Store or Google Play submission.

Full branding/identity package, logo redesign, comprehensive brand guide, or printed collateral.

On-site photography or video production.

Features not shown in the demo, such as amenity reservations, online voting or elections, violation tracking, or gate and access-control integrations.

Integration with accounting or association-management software, migration of historical financial records or owner ledgers, or automated collections and late-fee enforcement.

SMS or text-message notifications.

Large-scale content entry/migration, unlimited revisions, or support beyond the annual hosting and care plan.

Legal, regulatory, privacy, tax, or compliance advice/guarantees. Client remains responsible for governing documents, policies, resident data handling, and approved content.

Scope protection

Requests that materially add features, integrations, workflows, content migration, branding deliverables, or functionality beyond this proposal will be treated as additional scope and priced separately before work begins.

Section 10

Acceptance & Launch

The platform is considered delivered when the agreed core flows work in production and the site is deployed to the association’s domain.

A public visitor can browse the agreed public pages on desktop and mobile without creating an account.

A verified resident can activate an account, sign in securely, and use the agreed portal features.

A resident can pay assessments and fees through Stripe and see the payment in their payment history.

Board members and management can update the agreed site content through the CMS without code.

The platform is live on the association’s domain with hosting, SSL, backups, and monitoring in place, and functions responsively across current desktop and mobile browsers.
